The problems

What gets in the way, and how MannaBooks fixes it

Insurers who pay months later

Invoice each insurer and see what each owes and for how long.

Drugs that expire or go missing

Stock comes in on goods received and goes out on every sale; stock takes show the difference.

Several branches

Each branch has its own sales and stock, and you see them together.

How the work flows

  1. 1

    See patients

Consultations and drugs go on a cash sale, paid by cash or M-Pesa.

  2. 2

    Bill insurers

Visits covered by insurance go on the insurer's invoice.

  3. 3

    Restock

Order from suppliers and receive deliveries into stock.

  4. 4

    Pay staff

Payroll with PAYE, SHIF, NSSF and the Housing Levy, and leave balances.

Worked example

A medical centre

In a month the centre sees 42 patients covered by one insurer, billed at KES 186,500 in total, and sells KES 95,000 of medicines over the counter.

  1. 1.Over-the-counter sales are cash sales, paid by cash or M-Pesa, and take the medicines out of stock.
  2. 2.At the end of the month one invoice to the insurer lists the covered visits.
  3. 3.The insurer's balance shows on the aged receivables report until they pay.
  4. 4.When the payment arrives it is matched to the invoice.
