Invoices

An invoice asks a customer to pay for goods or services you supplied on credit.

Draft, then issue

  1. Open Sales > Invoices and choose New invoice.
  2. Choose the customer. The due date follows their payment terms; you can change it.
  3. Add the lines. Tick Prices include VAT if the prices you type already include VAT.
  4. Save draft to keep working on it, or Save and issue.

A draft can be changed or deleted freely and is not in the books. Issuing gives it its number (INV-00001), records what the customer owes, the sale and the VAT you owe KRA, and sends it to KRA eTIMS when eTIMS is switched on.

After issuing

An issued invoice can't be edited: the customer and KRA already have it. To correct it:

  • Wrong amount or goods returned: issue a credit note against it.
  • Raised by mistake and not paid: Void it with a reason. Voiding removes it from the books. An invoice with payments, or one signed by KRA, can't be voided; use a credit note.

Getting paid

Choose Record payment on the invoice. The status moves from Issued to Partially paid to Paid, and invoices past their due date show as Overdue.

More you can do from an invoice

  • M-Pesa prompt: ask the customer's phone for the payment (needs M-Pesa connected).
  • More > Share link with customer, Email a payment reminder, Delivery note and Debit note.
  • More > Send by email: the customer gets the lines, the total, how to pay, a link to pay online and, where PDFs are set up, the invoice as a PDF.
  • More > Download PDF or Print or save as PDF: an A4 copy with your logo, KRA PIN and the eTIMS details once signed.
