Products and services
Products are the goods and services you sell. Saving them once means every quotation, invoice and cash sale fills in the description, price, VAT and income account for you.
Adding a product
- Open Sales > Products and choose New product.
- Choose Goods or Service, enter a name and an optional code (SKU).
- Enter the selling price and the VAT rate. For KRA eTIMS each rate carries a tax code: B is 16%, E is 8%, C is zero-rated, A is exempt.
- The income account is set for you (Sales for goods, Service income for services). Change it only if your accountant asks.
You can still change the price, VAT or description on any line when you sell; the product only sets the starting values.
Adding many at once
Products > Add many opens a page with rows to fill in, one product per row: name, code, type, category, unit, selling and cost price, VAT, and opening stock for stock items.
- Paste from Excel. Copy the columns name, code, selling price, cost price from a spreadsheet and paste them into a Name box. Each line fills a row from there down.
- Set for every row. Choose a category, VAT rate or type once at the top and every row takes it. You can still change single rows after.
- Saving. You can add up to 50 at a time. Empty rows are left out. Everything is saved together: if a row has a mistake, nothing is saved, and the rows to fix turn red with the reason.
- Codes. A blank code gets the next number.
For hundreds of products, Import a spreadsheet instead (Data > Import and export).
Stock, and products made when sold
For goods, choose one of these, or neither:
- Track stock: MannaBooks keeps the quantity on hand and its average cost, and posts the cost of sales when you sell. Enter the stock you already have when you add the product.
- Made when sold, from a recipe: for meals, drinks, mixed paint and the like. The product has no stock of its own; each sale takes its recipe's ingredients out of stock instead, and their cost becomes the cost of sales. Add the recipe in Manufacturing > Recipes. A sale is refused until the product has an active recipe.
A product can't be both. The products list shows Made to order in the stock column for these.
Other units
If you buy or sell the product in cartons, bags or bottles as well as one by one, add them under Other units: the unit, how many of the product's own unit it holds, and its own price if it has one. See the Categories and units guide.
A product used on a document can't be deleted. Mark it inactive to stop selling it.
Pricing tips
- Work out your cost first (purchase price, transport, packaging), then add your margin. A 30% margin on cost of 1,000 is a price of 1,300 before VAT.
- If you quote prices to the public including VAT, tick Prices include VAT on the document and MannaBooks works out the VAT inside the price.
