Bank reconciliation

Reconciling proves your books agree with the bank or M-Pesa statement. Do it every month for every account.

1. Import the statement

Open the account in Cash and banking and choose Import statement. Download the statement as CSV from your bank's internet banking or the M-Pesa statement (open the PDF in Excel and save as CSV if needed). MannaBooks guesses the columns (date, details, money in, money out); check them and import. Lines already imported are skipped.

2. Match each line

For each line To match, choose Match:

  • MannaBooks shows transactions in the books with the same amount within 10 days. Pick the right one.
  • If it isn't in the books (bank charges, interest, a standing order), choose the account and Record and match. It is entered as an expense or other income.
  • Lines that don't belong (for example a reversal pair) can be ignored.

3. Reconcile

Choose Reconcile, and enter the statement date and closing balance. Matched transactions are ticked for you; tick any others that appear on the statement. When the Difference is 0.00, choose Finish.

Transactions in a finished reconciliation are locked: a document behind one can't be voided or changed until you Reopen the reconciliation (only the latest can be reopened). Unticked items, such as cheques not yet cleared, carry forward to next month.
