Cash and banking
Cash and banking shows every account money sits in: bank accounts, M-Pesa tills and paybills, cash on hand and petty cash, with their balance in the books.
Accounts
Your starting accounts (Cash on hand, Petty cash, Bank account, M-Pesa) are there already. Choose Add account for each other bank account or till; a matching account is added to your chart of accounts.
Everyday money in and out
- Customer payments and cash sales (Sales) and supplier payments (Purchasing) already move money; you don't enter them again here.
- Spend money (Expenses): costs paid on the spot, such as fuel, airtime, rent or bank charges.
- Receive money (Other income): interest, rent you receive, commission, refunds.
- Transfers: money moved between your own accounts, such as banking the day's cash, sweeping M-Pesa to the bank or topping up petty cash. Enter any bank or M-Pesa charge and it goes to Bank and M-Pesa charges.
Keeping the books right
Once a month, reconcile each account against its statement (see Bank reconciliation).
