Analytics

Analytics, in the menu just under Overview, shows what needs attention today. The Overview shows the totals for a month or a year; Analytics shows what to act on now.

What it shows

  • Sales this month, before VAT: invoices, debit notes and cash sales. The arrow compares this month so far with the same days last month, so the 10th is compared with the 10th.
  • Money in this month: customer payments received plus cash sales.
  • Customers owe you, with how much is overdue.
  • You owe suppliers, with how much is overdue.
  • Cash and bank: the balance now, and each account.

Below the totals:

  • Money coming in:
    • what is overdue, what falls due in the next 7 days, and draft invoices not yet issued;
    • the invoices to chase, with how many days late each one is;
    • the customers who owe the most overdue.
  • Money going out:
    • overdue bills, bills due in the next 7 days and draft bills not posted;
    • payment vouchers waiting for approval;
    • the bills to pay next.
  • Quotations:
    • open quotes and their value, and those expiring this week;
    • accepted quotes not yet invoiced, ready to Convert to invoice;
    • quotes from catalogues waiting for your review.

Who sees what

Everyone has the page, but each part shows only to people allowed to see it:

  • Sales: people who can see invoices or cash sales.
  • Quotations: people who can see quotations.
  • Money coming in: people who can see invoices.
  • Money going out: people who can see supplier bills.
  • Cash and bank: people who can see banking.

So a cashier sees sales, an accountant sees nearly everything, and an owner sees it all. Someone limited to a department sees only that department's figures, and never the business-wide cash.
