Purchase orders (LPOs)

A purchase order (Local Purchase Order) tells a supplier what you want to buy and at what price.

Raising an order

  1. Open Purchasing > Purchase orders and choose New order.
  2. Choose the supplier, the expected delivery date and the warehouse it goes to.
  3. Add the products, quantities and agreed costs.
  4. Save. It stays a draft until someone allowed to approve orders chooses Approve.
  5. Print LPO and send it to the supplier.

Only people whose role has Approve purchase and service orders can approve. Store managers can raise orders but not approve them.

What happens next

  • Goods arrive: Receive goods on the order (see Goods received). The order shows how much of each line has arrived: Partly received, then Received.
  • The rest isn't coming: Close the order.
  • Ordered by mistake: Cancel it, as long as nothing has been received.
