Business inbox
When your customer or supplier also uses MannaBooks, you can send them documents straight into their books instead of by email. They don't retype anything: one click turns your invoice into their bill.
How MannaBooks finds them
By KRA PIN. If the KRA PIN on your customer or supplier matches the KRA PIN of a business on MannaBooks, a button Send to their name on MannaBooks appears on:
- an issued invoice, which arrives as an invoice;
- a sent or accepted quotation;
- an approved purchase order (LPO).
Check the KRA PIN on the customer or supplier if the button doesn't appear. If they aren't on MannaBooks, send the document by email as usual.
Sending
- Open the document and choose Send to … on MannaBooks.
- Add a message if you like, and Send.
- Business inbox > Sent shows each document you sent and what they did with it: New, Accepted, or Declined with their reason. A declined document can be fixed and sent again.
Receiving
Documents sent to you appear in Business inbox, with a count in the menu. Open one to see its lines and totals, then:
| You receive | Accepting creates |
|---|---|
| A supplier's invoice | A draft bill, with the supplier (found by KRA PIN or added for you), their invoice number, dates and lines. Choose the account to record it in. |
| A supplier's quotation | A draft purchase order to that supplier with the quoted lines |
| A customer's purchase order (LPO) | A draft invoice to that customer, with the LPO number as the reference |
Drafts are never posted for you: check them, then post the bill, approve the order or issue the invoice as usual.
If your business isn't registered for VAT, the VAT on a supplier's invoice becomes part of the cost on your bill.
Decline a document you don't agree with and say why; the sender sees your reason.
Who can do what
Owners and Admins can do everything. Accountants can receive and accept; Sales and Store managers can send. Accepting also needs the right to create the draft (bills, purchase orders or invoices).
