Chart of accounts
The chart of accounts lists every account the business records money in. Each account has a type, which decides where it appears in reports:
| Type | What it holds | Normal balance | Report |
|---|---|---|---|
| Assets | What the business owns: cash, bank, M-Pesa, stock, money customers owe | Debit | Balance sheet |
| Liabilities | What it owes: suppliers, VAT, PAYE, loans | Credit | Balance sheet |
| Equity | The owner's stake: capital, retained earnings | Credit | Balance sheet |
| Income | Sales and other income | Credit | Profit and loss |
| Expenses | Cost of sales and running costs | Debit | Profit and loss |
The starting chart
Every workspace starts with a chart suited to a Kenyan SME: cash, bank and M-Pesa; receivables and payables; VAT, withholding tax, PAYE, SHIF, NSSF and the housing levy; sales, cost of sales and the usual expenses.
Accounts marked System are the ones MannaBooks posts to automatically (for example, sales go to Sales and VAT to VAT payable). You can rename them, but not change their type or switch them off.
Adding and changing accounts
Choose New account, give it a code and a name, and pick its type and detail type. Codes are your own; the starting chart uses 1000s for assets, 2000s liabilities, 3000s equity, 4000s income and 5000s to 6000s expenses.
An account that has entries can't be deleted. Untick Active to stop using it; its history stays.
