The problems

What gets in the way, and how MannaBooks fixes it

The wrong price on the invoice

Put wholesale, retail and contract customers on their own price lists. The invoice picks the customer's price for you.

Money stuck with customers

See who owes you and for how long. Send statements and reminders, and let customers pay by paybill with the invoice number.

Stock in more than one place

Keep stock per warehouse, transfer between them, and count each one. Delivery notes record what left and who received it.

How the work flows

  1. 1

    Take the order

Raise a quotation or go straight to an invoice; the customer's price list sets the prices.

  2. 2

    Deliver

Print a delivery note from the invoice; stock leaves the warehouse it was sent from.

  3. 3

    Buy

Raise LPOs to suppliers, receive the goods and enter the supplier's bill.

  4. 4

    Collect

Payments by paybill match themselves to invoices; send reminders for anything overdue.

Worked example

A cooking oil distributor

A minimart orders 20 cartons of cooking oil (12 × 1 litre) on 30 days' credit, at the wholesale price of KES 3,000 a carton before VAT. The distributor's average cost is KES 2,640 a carton.

  1. 1.The invoice takes the wholesale price from the minimart's price list.
  2. 2.240 bottles leave the main warehouse; the delivery note goes with the driver.
  3. 3.The minimart owes KES 69,600, due in 30 days, and shows on the aged receivables report.
  4. 4.Three weeks later they pay by paybill with the invoice number as the account; the payment matches itself and the invoice is marked paid.
